Volunteering for Friday Set Up

What should I wear if I’m helping to set up on Friday, 6/13?
For Friday, set-up day, please dress in comfortable-casual clothes and wear closed-toed shoes—there’s a chance you’ll get dirty.

What will I be doing at Friday’s set up?
You could be assisting in the decoration of booths, sorting materials, distributing giveaways, or any number of other fun, physical tasks.

Where should I check in when I arrive at the Hynes?
Please head straight to Hall B and ask for Tamara, Nicole or Brianna.

Before You Arrive At the Expo – Saturday and Sunday

What should I wear?
The Expo is a casual event, but you are serving as a representative of Boston Medical Center. Please wear clean, casual clothes and comfortable footwear. Nice jeans, athletic clothing and khakis are acceptable. No ripped clothing, short skirts, cutoffs or flip-flops are permitted.

At Check-In, you will be given a short-sleeved volunteer T-shirt and name tag.

Should I leave my bag at home?
Yes. Please leave any non-essential personal items at home. There is no place to securely store your belongings and you are 100% responsible for the safekeeping of your items at all times.

How should I get to the Hynes?
Because parking at and around the Hynes is expensive and parking is limited in the neighborhoods surrounding it, we encourage you to take public transportation or use the shuttle that travels to and from the BMC campus. There are several subway and bus lines that stop steps away from the Hynes. Please see the transportation information in this packet.

When You Arrive At the Hynes Convention Center – Saturday and Sunday

What happens when I get there?
Please report to Boston Medical Center (BMC) Volunteer Check-In, outside of Hall B, 15 minutes before your assigned shift time. Morning shift starts at 9:00 am and afternoon shift starts at 1:00pm. Please be prompt!

Due to heightened security this year, all bags will be searched for both volunteers and event-goers, so this can take some time. Please plan to arrive with plenty of time to pass through security to start your shift on time.

Where should I check in?
There will be a check-in area outside of Hall B. This is the BMC Volunteer Check-In area across from the Expo entrance. Please arrive 15 minutes early to check in so you are ready to go when your shift begins.

You will be given short-sleeved volunteer T-shirt and name tag at check in. We ask that you wear both during your shift
What will I be doing?
Most importantly, you will be representing BMC. This means you will have the invaluable job of supporting the BMC presence by providing friendly, enthusiastic assistance and information to event-goers.

Specific job assignments may include:

  • Volunteer Check-In Support: Help with the volunteer check-in process and address questions and needs of both BMC exhibit staff and volunteers.

  • Zone Support: Support designated BMC exhibits to address any needs of staff or event-goers, including helping guests navigate the area or communicate exhibitor’s needs for more materials from the storage area.

  • Materials/Supply Management: Keep exhibits stocked with supplies.

  • Activity Support: Assist with various BMC activities either within exhibits or on the main demonstration stage.

  • BMC Advocates/Promoters: Promote and cross-sell BMC services; direct event-goers to exhibits that meet their interests and needs.

Will I be fed?
We ask that you arrive having already eaten and ready to go. We will provide snacks and a food voucher for you to eat at your convenience.

Will there be water?
Yes, drinking water will be available, though you are welcome to bring a water bottle.

Will I get paid for volunteering?
This is purely a volunteer opportunity, and we sincerely appreciate the donation of your time and energy.

After Your Shift – Saturday and Sunday

Do I need to do anything special at the end of my shift?

  • If you are working the morning shift, before you leave, you will be asked to brief your replacement on what he or she will be doing.
  • If you are working the afternoon shift, as long as the area is picked up, then you can leave your assignment.

Can I visit other booths and activities at the Expo?
The Expo’s event hours are 10:00am to 5:00pm, so feel free to enjoy the Expo before or after your volunteer shift.

Emergency or Lost Child Contacts and Safety Information – Saturday and Sunday

Who should I contact in case of an emergency or if there’s a lost child?
If there’s an emergency, find someone with a radio to call for assistance, do not call 911. BMC Marketing Staff, Show Management and Convention Center Staff/EMTs will be on radios at all times. First Aid/EMTs are also located in the Family Safety Center.

The WHDH-7NBC/CW56 Information Booth in Hall A is the central point for lost children.

If you find a lost child, please escort them to the Information Booth. Announcements will be made ONLY for lost children age 10 and under and anyone with mental disabilities. They will not page for adults that cannot connect with each other; only in emergency situations.
